Office Assistant (part-time)

Overview: We are looking for a part-time Office Assistant to support our small and busy team. In this role, you’ll be responsible for holding down the fort (aka the office) and generally keeping us organized while other team members come and go or work remotely. You’ll also have the opportunity to learn more about different immigration applications as you help us with drafting application forms and on-line applications.

You will work on-site at our office in the heart of Brentwood in Burnaby. We are open to discussing a work schedule to mutally meet our needs, whether it be spread out over 3, 4, or 5 days per week.

You will provide support in many areas, including:

General office duties:

  • Greet and assist visitors
  • Receive, scan and distribute mail, courier packages, and faxes
  • Handle outgoing mail, couriers and faxes
  • File and organize documents
  • Maintain office supplies and re-order as needed
  • Assist with the preparation of events, such as room bookings, catering and event materials
  • Perform other general and administrative duties as required


  • Post supplier invoices to QuickBooks
  • Deposit cheques
  • Reconcile bank accounts and credit cards
  • Assist in the preparation of client invoices
  • Assist with month/year-end activities


  • Maintain data in Officio (database) and run reports
  • Maintain and create client questionnaires and update as necessary
  • Quarterly update of our Application Manual and other process documents
  • Draft consulting agreements
  • Draft application forms and on-line applications as directed
  • Scan and organize client documents and files
  • Prepare application packages for submission

What you bring:

  • Completion of Business Administration diploma or similar
  • 2+ years expereince in administrative roles, preferably in human resources, accounting, law or similar
  • Experience and confidence with MS Office, MS Teams and Adobe Acrobat
  • Ability to learn computer systems quickly
  • Strong teamwork, collaboration and customer service skills
  • Excellent verbal and written communication skills
  • Ability to prioritize workload and manage multiple tasks and deadlines
  • Excellent attention to detail and an aptitude for numbers
  • Strategic eye for optimizing work processes
  • Self-motivated and self-managed
  • Ability to handle confidential information with discretion
